The Payroll & Benefits Specialist is responsible for ensuring all A&R Solar employees receive their earned wages and make best use of company-provided benefits. S/he processes regular payroll, administers benefits for existing employees, helps to recruit and on-board new employees, and ensures that the company remains in compliance with applicable labor laws. The Payroll & Benefits Specialist is the primary representative of an employee-oriented HR department that emphasizes quality, continuous improvement, employee retention, and high performance.

HR RESPONSIBILITIES

Benefits Administration

  • Administer benefits program, including health insurance, 401k, disability, and stipend accounts
  • Process employee benefit changes and reconcile invoices against employee deductions to ensure accuracy
  • Update and maintain accurate records in Human Resources Information System (HRIS) – BambooHR
  • Manage and consult with external benefits administrators
  • Respond to employment verifications, unemployment claims, and similar requests
  • Work with Marketing to secure and deliver company-branded apparel to employees
  • With the CEO, CFO, and community relations group, plan the company’s philanthropic and charitable giving
  • Encourage employee adoption of benefits programs

Recruitment Support

  • Assist in development and implementation of recruitment strategies, tactics, funnels, and procedures
  • Communicate with management team to determine the effectiveness of recruitment plans
  • Rewrite job descriptions as necessary; prepare and approve job offers for new hires

On-boarding and Training

  • Process background checks and ensure timely completion of new employee paperwork
  • Conduct orientation for all new employees
  • Recommend new approaches, policies, and procedures to effect continual process improvements
  • Assist in tracking and enrolling employees in training programs for licensing and professional development

Compliance

  • Mitigate risk by keeping A&R Solar compliant with federal, state (WA & OR), and local labor laws and regulations
  • Remain current on changes to relevant policies and regulations via trade publications and outside trainings

ACCOUNTING RESPONSIBILITIES

Payroll

  • Set up employee records and maintain updates as needed inclusive of 401k, health insurance premiums, PTO, taxes in Intuit QuickBooks Desktop accounting system.
  • Reconcile employee advance receivables
  • Review time sheets in TSheets to ensure entries are correct prior to synching with QuickBooks
  • Confirm accuracy of accounts, customer jobs, service items, and other payroll items for job-costing purposes
  • Process bi-weekly and supplemental payroll, comply with WA/OR and prevailing wage requirements
  • Prepare WA/OR quarterly payroll tax reports and annual W-2s

APPLICANT REQUIREMENTS

  • 2+ years of payroll experience using Intuit QuickBooks, preferably in construction industry
  • 2+years of benefits administration experience, proficiency with BambooHR a plus
  • Bachelor’s degree in related field highly desired, payroll certification a plus
  • Strong proficiency in Microsoft Excel, experience creating nested formulas and pivot tables a plus
  • Excellent interpersonal, verbal, and written skills
  • Desire to provide a high level of service and support for employees
  • Ability to multitask, prioritize, and problem solve in a deadline driven environment
  • Exceptional organization and attention to detail, familiarity with prevailing wage reporting a plus

COMPENSATION

  • Salary – $50,000-60,000 DOE
